Venue Hire Terms & Conditions

Bar & Function Room Reservations | The Horse & Stables Pub/Kitchen

Everyone with a fully confirmed reservation understands and agrees

to all of the following terms & conditions of venue hire.

 

 

Definitions

Evening Bookings: Reservations between the hours 17:00 - closing time.
Daytime Bookings: Reservations between opening time - 17:00

Minimum Spend: The least amount of money a customer must spend on our products per reservation slot.

  1. Upstairs Function Room Reservations

1.1 - All private evening bookings have an associated Minimum Spend and Deposit payment requirement. Please note, standard rates apply throughout the year, except for Christmas Season (whole month of December yearly - for specific xmas rates scroll further down).

1.2 - All private daytime bookings are charged a £10/hour rate for room use, payable upon arrival.

This fee is not refundable.

 

1.3 - Minimum Spend Requirements

1.3.1 - The value of Minimum Spends vary by the day of the week as follows:

Mondays - £200; Tuesdays - £300; Wednesdays - £400; Thursdays - £500;

Fridays & Saturdays - £600; Sundays - £100

1.3.2 - The assigned minimum spend can go towards both food and drinks.

1.3.3 - Regular Customer & Local Business Discounts do not count towards Minimum Spends,  however we they remain applicable for each of your purchases when valid credentials / proof are presented.

1.3.4 - Customer will be charged of access value in case of a failure in reaching the Minimum Spend Requirement. This done either by direct payment or deduction from Deposit.

 

1.4 - Deposit Payments

1.4.1 - Reservations are only fully confirmed once holding deposit has been successfully paid to us.

1.4.2 - Deposits must be paid within 2 weeks after receiving confirmation of your booking,
* unless otherwise specified.

1.4.3 - The value of Holding Deposits is equal to half the amount of the bookings minimum spend.

1.4.4 - Failure in completing your reservation down payment on time might result in your booking being cancelled.

 

1.6 - Terms of Room Use

1.6.1 - You may only use the room for activities previously agreed with us. If in doubt please contact us via e-mail to info@thehorseandstables.co.uk

1.6.2 - It is strictly forbidden for guests to

  • Go behind the bar and use any of the fridges or serve themselves from stock.

  • Smoke (including that of the use of E-cigarettes and Vapes).

  • Block or use the Fire Exit for other than emergency evacuation purposes.

  • Part-take in any illegal activity, cause health and safety risks or fire.

  • Consume products purchased outside of premises / not from us.

Any of above actions will result in immediate cancellation of event and guests being expelled from premises.

1.6.3 - You must return original conditions of the room at the end of your event.

1.6.4 - Disposal of any rubbish that isn’t directly associated with food and drinks consumption or that  isn’t a standard “acceptable” by-product of event is the guest’s responsibility. Eg. broken stage preps, carrier boxes, large decor items must not be left on premises. If in doubt please check with manager on duty when handing back room.

 

1.7 - Terms of Equipment Use

1.7.1 - Use of our Equipment including PA / all live music and performance gear / electronic devices requires a £50 Security Payment (or multiples of / item where applicable, entirely in discretion of Horse & Stables management staff).

1.7.2 - A full Inventory Check-List must be conducted and signed by manager on duty when handing over any equipment, as well as upon return of items for valid Deposit & Refund purposes.

1.7.3 - Damage or loss of monetary value of equipment due to inappropriate use or the fault of customer will have to be covered in full by the customer - either by direct payment or deduction from Deposit. (Eg. If you blow the speakers you will have to cover their cost in full.)

 

1.8 - Xmas Period Booking Rates

(Applicable to bookings made for dates between the 1st and 31st of December each year)

1.8.1 - All other private booking terms & conditions apply here the same way, but associated rates vary, see below.

1.8.2 - Xmas Minimum Spends for the Function Room:

Mondays - £400; Tuesdays - £500; Wednesdays - £600; Thursdays - £700;

Fridays & Saturdays - £800; Sundays - £300

1.8.3 - Applicable Holding Deposits is equal to half of the bookings minimum spend.

 

  1. Downstairs Pub Area & Table Reservations

2.1 - All evening bookings for under 10 guests have an associated £50 Holding Deposit associated.

 

2.2 - All evening bookings for over 10 guests have an associated £100 Holding Deposit associated. Depending on individual details you might also be asked to meet a Minimum Spend requirement, if applicable our management team will contact you in writing.

 

2.3 - Deposit Payments

2.4.1 - Reservations are only fully confirmed once holding deposit has been successfully paid to us.

2.4.2 - Deposits must be paid within 2 weeks after receiving confirmation of your booking,
* unless otherwise specified.

2.4.4 - Failure in completing your reservation down payment on time might result in your booking being cancelled.

 

2.4 - Terms of Hire

2.4.1 - You may only use tables and areas for activities previously agreed with us. If in doubt please contact us via e-mail to info@thehorseandstables.co.uk

2.4.2 - It is strictly forbidden for guests to

  • Smoke (including that of the use of E-cigarettes and Vapes).

  • Block or use the Fire Exit for other than emergency evacuation purposes.

  1. Full Venue Hire

3.1 - Private Full Venue Bookings regardless of evening or daytime slot have an associated Minimum Spend and Security Deposit associated, all of which is to be quoted as per booking in writing by management staff.

 

3.2 - All above Deposit payment terms and Refund Policies apply to Full Venue Hire Bookings.


 

Cancellations & Refund Policy

1.5.1 - You may cancel your existing reservation in writing by e-mailing: info@thehorseandstables.co.uk at least 5 work days prior your booking date in order to get your deposit payment refunded. (*Cancellation notice period is different during the Xmas season and is to be set out by management staff in writing per booking.)

1.5.2 - Where applicable to you must comply with all Terms of Room & Equipment Use, failure to abide by any rules set out in specific sections (see below) may result in loss of your Deposit.

1.5.3 - Holding Deposits are refunded by direct payment within 5 working days after the date of your reservation or optionally as a deduction from your bill on the night of your event.

1.5.4 - Any damages to Walrus Inns Ltd. property may result in your Deposit being withheld and you may also be charged with any access value where applicable.
